What separates the best VoIP business phone systems?
Call quality and reliability carry the most weight in our scoring (30 points), and that is where the top of this list splits. RingCentral scored 8.6 and Nextiva 8.4, with Nextiva's call quality landing within a tenth of RingCentral's. Dialpad sits at 8.3, a step behind both on our loaded-network calls. Zoom Phone scored 8.5 at $15 per seat, and its $75 a month for five unlimited seats was the best price-to-quality ratio in the test.
Price alone does not sort the list. 8x8 Work costs $24 per seat, or $120 for five seats, the most expensive entry plan here, and it scored 7.8. Google Voice for Business is the cheapest at $10 per seat, $50 a month for five seats, and scored 7.7. Grasshopper is priced per account, so five people share the $80 Small Business plan, and it scored 7.2.
What should I check before buying a business phone system?
Features are 25 points of the score, and the entry plan is where most of them hide. RingCentral's call recording and CRM integration need the $25 Advanced plan. Nextiva leaves call recording off the entry tier. Dialpad's uptime SLA only applies to Pro and above. Ooma Office puts desktop app, recording and video on the $24.95 Pro plan. Google Voice needs a paid Workspace subscription on top, and its auto-attendant and ring groups need the $20 Standard tier.
Setup and admin is 15 points. Ooma's base station and phones arrived pre-configured and worked in ten minutes. RingCentral's auto-attendant and ring groups were configured in under twenty minutes. 8x8's admin console is built for larger deployments, which shows if you run a small office.
Integrations are 10 points. RingCentral connects to Salesforce, HubSpot, Microsoft 365, Google and Slack. Nextiva has fewer third-party integrations, Ooma has few, and Grasshopper has few. Value is the last 20 points, and taxes and fees added about 18% to our RingCentral quote, so budget above the sticker.
