Frequently asked questions about accounting software
Do I need QuickBooks?
Only if your accountant insists, and many do — it is what they know and it has the most integrations. Xero does the same bookkeeping for less with unlimited users; FreshBooks is better for invoicing-led freelancers; Wave is free. Ask your accountant before choosing, then choose the cheapest one they will work in.
What do "bank feeds" do?
They pull your bank and card transactions in automatically so you match them to invoices and bills instead of typing them. Every product here has them; QuickBooks and Xero matched the most transactions automatically in our test, Wave and Zoho needed the most manual categorising.
Is free accounting software safe?
Wave and Zoho Books' free tier are real double-entry systems used by hundreds of thousands of businesses. They make money on payments and paid tiers rather than the software. The trade is fewer integrations and slower support.
How do you test accounting software?
A real three-month data set — 400 bank lines, 60 invoices, bills, a payroll run, sales tax — goes into each product through bank feeds and imports. We time the reconciliation, count how much the software categorised itself, run the same reports, send and collect the same invoice, and have a CPA check the books at the end. Prices are the regular monthly rate.
