What separates the picks on this page?

Five tools, five different ideas of what monitoring is for. ActivTrak scores 8.9 at $10 and is the only product here where every employee gets their own dashboard by default, with no keystroke logging at all. Insightful and Hubstaff both score 8.3. Insightful starts at $6.40 per seat and maps how long each step of a repeated task takes; Hubstaff starts at $7 and runs payroll from tracked hours. DeskTime scores 7.8 at $7, tracking automatically and sorting apps into productive and unproductive. SentryPC scores 6 at $5, sold by the device rather than the seat.

The scoring puts 25 points on visibility and accuracy and 25 on proportionality and worker rights, so a tool that hides itself loses ground fast. SentryPC runs invisibly by default and gives the worker no view of their own data. Insightful's stealth install is a single toggle and the default hides the app from the worker. Hubstaff lets workers see and delete their own screenshots before submission.

What should you check before buying?

Start with the platforms you actually run. Hubstaff was the only product here that covered all three of our platforms including Linux. ActivTrak has no Linux agent, so our Linux tester was invisible.

Then look at what the tier you can afford includes:

  • ActivTrak: deep individual investigation needs the $19 Professional tier.
  • Hubstaff: screenshots and app tracking need the $12 Team tier, and there is a two-seat minimum.
  • DeskTime: screenshots only on the $10 Premium tier.

Budget time for tuning. DeskTime's productivity categories need a lot of manual tuning to be fair. If you want workload and focus insight rather than a log, ActivTrak's workload and burnout reports flagged two genuinely overloaded testers, while SentryPC's reporting is a log, not an analysis.

Which one for whom?

ActivTrak suits a small business that wants workload and focus data with employees seeing their own numbers. Insightful suits a tight budget that still wants the full analytics set and process-improvement reports. Hubstaff suits contractors and field teams paid by the hour who need payroll and invoicing from tracked hours. DeskTime suits a team that wants light-touch automatic tracking with a Pomodoro timer and an absence calendar. SentryPC suits covering a handful of machines cheaply, at about $5 a device a month on the Professional licence.

For a small business that wants employees to see their own focus data, ActivTrak is the pick. Hubstaff fits hourly contractors and field teams because payroll and invoicing come out of tracked hours. If you just need to cover a handful of machines cheaply, SentryPC does that at about $5 a device a month.

Questions about best employee monitoring for small business

Is employee monitoring legal in the US?
Generally yes on company-owned equipment, and the safe practice everywhere is written notice plus a clear policy. Connecticut and Delaware require written notice of electronic monitoring, and New York requires notice at hire to anyone whose telephone, email or internet use may be monitored. Recording calls brings separate two-party consent rules in California, Florida, Pennsylvania and others. This is general information, not legal advice — ask an employment lawyer before deploying anything here.
What is the difference between monitoring and workforce analytics?
Monitoring watches individuals: screenshots, keystrokes, sites visited. Analytics aggregates patterns: focus time, meeting load, workload balance. ActivTrak and Insightful lean analytics and give the worker their own dashboard; Teramind and SentryPC lean surveillance and support covert installation. The second kind damages trust faster than it raises output, and we scored accordingly.
Does monitoring actually improve productivity?
The evidence is mixed and depends entirely on how it is used. Teams told us the data was useful when it surfaced overload and unfair workload distribution, and corrosive when it was used to rank people by keystroke counts. If you are deploying to catch people rather than to fix a process, the software is not your problem.
How do you test monitoring software?
Each product is installed on five consenting machines — three Windows, one macOS, one Linux — for two weeks of ordinary work. Testers keep their own log of what they did. We compare the software's picture against that log, note what it missed on each platform, check what a worker can see about themselves, count what the default install collects, and price a 20-person team on the plan our test required.
