What separates the cheapest accounting software on this page?

Price is the easy part. The four picks here all sit at the low end, but they split on what you get for the money. Xero scores 8.5 at $20, with unlimited users on every plan and auto-matching that handled 76% of transactions in our test. Zoho Books scores 8.2 and starts free for businesses under $50,000, with Standard at $20/mo. Wave scores 7.6 and is free for unlimited invoices, estimates and double-entry books, though bank feeds now need the $16 Pro plan. Sage Accounting scores 7.5 at $10, with Standard at $25 for unlimited users and inventory.

The gap is not just the score. It is what each one does with your bank data. Xero's rules are easy to set and its matching rate was the highest here. Zoho's auto-matching trailed QuickBooks and Xero. Wave's is weak enough that our reconciliation took longest. Sage's core books are reliable — a CPA found them clean — but invoicing is basic and there is no time tracking.

What should I check before buying cheap accounting software?

Look at the scoring criteria: bookkeeping core 30, invoicing and payments 20, reporting and tax 15, integrations and accountant access 15, value 20. That weighting tells you where the money goes. A low monthly price means little if the bookkeeping core or the invoice cap gets in your way.

  • Invoice limits: Xero's early plan caps invoices at 20 a month. Wave gives unlimited invoices free.
  • Bank feeds: Wave's Starter now requires manual bank statement import; Pro at $16 adds bank feeds and receipt capture.
  • Payroll: Xero uses Gusto, not built in. Zoho's US payroll is limited to some states. Wave has payroll in the same app.
  • Integrations: Sage has fewer than QuickBooks or Xero. Zoho CRM, Inventory and Payroll integrate natively.
  • Users: Xero is unlimited at $20. Sage Standard is unlimited at $25.

Xero — for teams that need unlimited users

At $20 with unlimited users, Xero suits a small team that would otherwise pay per seat. Basic inventory is on every plan. Skip it if you need built-in payroll or send more than 20 invoices a month on the early plan.

Zoho Books — for businesses already in the Zoho ecosystem

The free tier covers bank feeds for businesses under $50,000. Professional at $50 adds inventory, projects and multi-currency. Best if you already run Zoho CRM or Inventory.

Wave — for the lowest possible spend

Free unlimited invoices and double-entry books, with Pro at $16 for bank feeds and receipt capture. Choose it if you can live with manual import on Starter and slower reconciliation.

Sage Accounting — for a plain, reliable core

At $10, with Standard at $25 for unlimited users and inventory, Sage fits a business that wants clean books and cash-flow forecasting without a long integration list.

Xero suits a small team that needs unlimited users at $20 and the highest auto-matching rate here. Zoho Books fits businesses already using Zoho tools, with a free tier under $50,000 and Professional at $50 for inventory and projects. Wave is the pick when the monthly bill matters most — free books and invoices, or $16 Pro for bank feeds. Sage Accounting is for a plain, reliable core at $10, or $25 Standard with unlimited users.

Questions about cheapest accounting software with bank feeds

Do I need QuickBooks?
Only if your accountant insists, and many do — it is what they know and it has the most integrations. Xero does the same bookkeeping for less with unlimited users; FreshBooks is better for invoicing-led freelancers; Wave is free. Ask your accountant before choosing, then choose the cheapest one they will work in.
What do "bank feeds" do?
They pull your bank and card transactions in automatically so you match them to invoices and bills instead of typing them. Every product here has them; QuickBooks and Xero matched the most transactions automatically in our test, Wave and Zoho needed the most manual categorising.
Is free accounting software safe?
Wave and Zoho Books' free tier are real double-entry systems used by hundreds of thousands of businesses. They make money on payments and paid tiers rather than the software. The trade is fewer integrations and slower support.
How do you test accounting software?
A real three-month data set — 400 bank lines, 60 invoices, bills, a payroll run, sales tax — goes into each product through bank feeds and imports. We time the reconciliation, count how much the software categorised itself, run the same reports, send and collect the same invoice, and have a CPA check the books at the end. Prices are the regular monthly rate.
