What separates the best invoicing software on this page?
Three tools, three different jobs. QuickBooks Online scores 8.5 and costs $35 for one user. FreshBooks scores 7.9 at $21. Wave scores 7.6 and is free, with Pro at $16/mo.
The gap shows up in bank matching. QuickBooks auto-matched 82% of our 400 transactions, the highest here. FreshBooks needed the most manual work of the paid tools. Wave's auto-matching is weak, and our reconciliation took longest.
Invoicing itself flips the order. FreshBooks is built around the invoice: estimates, proposals, retainers and time tracking flow into each other, and our test invoice was paid fastest. Wave gives you free unlimited invoices, estimates and double-entry books. QuickBooks wins on reach: every payroll, POS and ecommerce tool integrates with it, and your accountant almost certainly uses it.
What should you check before buying invoicing software?
We score on bookkeeping core (30), invoicing & payments (20), reporting & tax (15), integrations & accountant access (15) and value (20). Run your own numbers against those five.
- Bank feeds. Wave's Starter now requires manual bank statement import; Pro at $16 adds bank feeds and receipt capture.
- Client limits. FreshBooks Lite caps billable clients at five.
- Price ladder. QuickBooks is $35 for one user, and inventory needs $99. Prices have risen every year.
- Who else touches the books. If your accountant does, QuickBooks is the safe handoff.
